Pilot

How a pilot starts.

A pilot starts with one problem you want answered. ArthOps reads the records you already keep and prepares the work for your team, so that after one month you have figures you can question.

Who ArthOps is for.

ArthOps is built for established restaurants, bars and groups.

It is for owners who want to know where every figure came from, and who checked the work. It reads the records you already keep. Your software stays as it is. Nothing is re-typed.

If you run more than one company, each keeps its own books, bank, staff, guests and compliance calendar. No combined totals across companies: not in a report, a brief or an answer.

Five steps.

A pilot is small on purpose: one problem, its records, its people, and a clear rule for what counts as done.

  1. 1
One problem you want answered.A pending payout, a dish that loses money, a licence about to fall due.
  2. 2
The records it needs.Exports from the software you already use.
  3. 3
The people responsible.Named people, and the person who checks their work.
  4. 4
A review standard. What counts as done, agreed before the first month.
  5. 5
The first month.A brief each morning, open work you can see, and figures you can question.

You ask

Are the delivery payouts reaching the bank?

One first problem, worked through the five steps. Payouts from the delivery platforms and the card machine are matched to the money that reached your bank. A gap stays visible, with an owner, until it is explained.

Pilot plan Delivery payoutsIllustrative
Problem
Are the delivery-platform payouts reaching the bank, and in full?
Records
The settlement statements you export from the delivery platforms, your bank statements, your POS day-end summaries.
Who
ArthOps lists the pending payout with its records and names the follow-up. Accounts chases it with the platform. You check.
Done means
The payout is matched to money received in the bank, or Accounts has explained why not.
First month
The morning brief shows what is still pending, and who owns it.
An example, not a customer's result. A payment that arrives later closes the gap. It is cash received, not new profit.

The first month.

What you get.

A brief each morning.

One for you, per company you run, never combined. One for each manager, with only their department's facts and the next action. Each is written from your records, and a person checks it before it goes.

Short enough to read on a phone. You read it in ArthOps. Sending on WhatsApp starts only when you switch it on.

Open work you can see.

ArthOps prepares the work, names the owner and keeps it open until someone else checks the evidence. When a manager marks a task done, that is a claim, not yet a result. If the next records confirm it, the task closes; if they do not, it stays open, with its owner.

You see what is still open, what was checked, and by whom.

Figures you can question.

Each figure carries where it came from, which outlet and period it covers, how complete the records are, and whether it has been checked against the other records. A missing record is shown as missing, never as zero. The AI explains in plain language; it never invents a number, a cause or a person.

When ArthOps cannot run a check, it says "cannot run", never "passed". Money counts as recovered only after someone else has verified it.

What we ask of you.

  • Exports of the records involved. From your POS, your bank, the delivery platforms and your accounting software, as you already download them. The records themselves stay where they are.
  • One approval for each new type of report. ArthOps reads no new type of file until you have approved it once. The company a file belongs to is never guessed from its name.
  • Who does each piece of work, and who checks it. Work closes when the evidence is attached and someone other than the person who did it has checked it. You can close an item yourself, and that decision is recorded.
  • A review standard. Agreed with your managers and written down before the first month, so "done" means the same thing to everyone.
  • Time to answer the questions the records raise. If a record is missing, ArthOps says which one. If sales, settlements and bank do not agree, the gap is listed with a named owner, and it stays visible until your team has explained it.

What ArthOps reads

Software plus people who have run a kitchen.

One prepares the work. The other writes the standards with your team.

The software

Reads, explains, and keeps work open until it is checked.

Every figure comes from your records. The AI explains, answers and drafts; people approve, send and pay.

The consultancy

Standards written with your team.

Our operations consultants write down the recipes, standards and responsibilities the software reads. They do it with your team, in your kitchen.
