Your records

Your records stay where they are.

ArthOps reads the exports and files you already download from your POS, your bank, your accounting software and the delivery platforms. Nothing is re-typed, and nothing is guessed.

What it reads today.

Six areas of the restaurant, each starting from the files your systems already produce.

Sales

POS exports.

Day-end summaries, item-wise sales and discount reports from your POS. The day-close sheets your team fills in.

Money

Bank and settlements.

Bank statements, as Excel or as a PDF with selectable text. The settlement statement you export from a delivery platform.

Books

Accounting reports.

The balance sheet from your accounting software and your monthly profit and loss workbook. Your vendor dues list.

Kitchen

Stock and recipes.

Opening and closing stock reports and store-to-kitchen transfers from your POS. Your recipe costing workbook.

People

Salary registers.

The salary register your accounts team already keeps. Salary figures are shown only after the month's payroll is closed and its totals agree exactly.

Growth

Campaign exports.

A campaign export from an ad platform: spend, reach and impressions per campaign and period. A new export layout is approved once before it is read.

What ArthOps prepares from them

How records reach ArthOps.

Four steps. The only new one is approving a file layout the first time it appears. The record itself stays in your system.

1ExportYou download the file as you do today, from your POS, your bank, your accounting software or a delivery platform.
2FolderIt goes into a shared folder or drive you already use. ArthOps reads from there and changes nothing.
3Approve onceA file layout ArthOps has not seen before is shown to you first. No new layout is read until you approve it once.
4ReadA folder is approved for one company, and the file is read for that company. The company a file belongs to is never guessed from its name.

Today there is no live connection to your POS, your bank or the delivery platforms. Everything comes from the files you export.

What it does not read yet.

Some records are not in any export today. ArthOps does not fill the gap with a guess.

  • A check that cannot run says "cannot run", never "passed".
  • A file that was expected but did not arrive is named, with the figures that wait for it.
  • ArthOps does not read cameras, and nothing it reads is turned into a score, a warning or a deduction for anyone.

  • Manager notesNot read yet
  • Guest feedbackNot read yet
  • Kitchen and order timingsNot read yet
Until a record is read, anything that depends on it is shown as missing.

Every figure carries its proof.

Where it came from, which outlet and period it covers, how complete the records are, and whether it has been checked. Open any figure and you see the file, the row and the calculation behind it.

  • A missing record is shown as missing, never as zero.
  • Every figure comes from your records and fixed calculations. The AI explains; it never invents a number, a cause or a person.
  • When sales, settlements and bank do not agree, the gap stays visible with an owner until it is explained. A payment that arrives later closes the gap. It is cash received, not new profit.

What one figure carries with it. An example, not a customer's result.

Separate businesses stay separate.

Each company keeps its own books, bank, staff, guests and compliance calendar.

Each company on its own.

Its records are never added into one total with another company's: not in a report, a brief or an answer. Its licences, filings and due dates sit on its own calendar.

Nothing on file means nothing recorded.

A company with no licence or filing records on file is told "nothing recorded", never "nothing due". The missing records are named, like any other.

Each outlet stands on its own records.

Every figure names the outlet and period it covers. A second outlet starts from the first one's approved standards, then earns its own numbers.

What we need from you to start.

Four things, then the first month begins. Each morning a brief, checked by a person before it goes. Open work you can see. Figures you can question.

Recipes, standards and responsibilities are often not written down yet. Our operations consultants write them down with your team, in your kitchen, so the software has something to read.
